Conference Management Platform Policy.

This Conference Management Platform Policy ("Policy") establishes the rules, responsibilities, and expectations for all users utilizing the Platform for conference organization, paper submission, peer review, publication management, and related academic activities.

This Policy applies to all users, including Organizers, Authors, Reviewers, and other conference participants.

1. Purpose of the Platform

The Platform provides software tools that facilitate:

  • Conference creation and management
  • Paper submission and tracking
  • Peer review workflows
  • Revision management
  • Camera-ready submission management
  • Reviewer assignment
  • Registration and payment verification (if enabled)

The Platform acts solely as a technical service provider and does not serve as a publisher, editor, or academic decision-making authority.

2. Organizer Responsibilities

Organizers are responsible for managing all aspects of their conferences, including:

  • Conference configuration and settings
  • Submission requirements
  • Reviewer recruitment and assignment
  • Review management
  • Acceptance and rejection decisions
  • Registration fee administration
  • Publication preparation

Organizers are solely responsible for the academic quality, legitimacy, and operation of their conferences.

The Platform does not review or approve conference content, acceptance criteria, or editorial decisions.

3. Author Responsibilities

Authors are responsible for:

  • Submitting original work.
  • Ensuring all submitted content complies with applicable laws and intellectual property rights.
  • Following conference-specific submission requirements.
  • Providing accurate information during submission.
  • Meeting submission, revision, and camera-ready deadlines.
  • Maintaining confidentiality when participating in double-blind review processes.

Authors must ensure that uploaded files do not contain malware, malicious code, or harmful content.

4. Reviewer Responsibilities

Reviewers are expected to:

  • Conduct objective and professional evaluations.
  • Maintain confidentiality of all assigned submissions.
  • Avoid conflicts of interest.
  • Submit reviews before assigned deadlines.
  • Refrain from distributing, sharing, or using submitted materials for personal gain.

Reviewers may only access papers explicitly assigned to them through the Platform.

5. Double-Blind Review Policy

For conferences using Double-Blind Review:

Authors must remove identifying information from review manuscripts, including but not limited to:

  • Author names
  • Affiliations
  • Email addresses
  • ORCID identifiers
  • Acknowledgements
  • Funding statements
  • Self-identifying references

Reviewers must not attempt to identify authors.

Organizers may require resubmission if identifying information is discovered.

The Platform cannot guarantee anonymity if authors upload identifying information.

6. Review and Decision Policy

Reviewer recommendations are advisory in nature.

Final decisions regarding:

  • Acceptance
  • Rejection
  • Minor Revision
  • Major Revision
  • Camera-Ready Approval

are made exclusively by conference organizers or designated editorial personnel.

The Platform does not participate in or influence editorial decisions.

7. Revision Policy

Conferences may require authors to revise manuscripts following peer review.

When revisions are requested:

  • Authors must submit revised versions before deadlines.
  • Organizers may request additional review rounds.
  • Previous review records may be retained for auditing and historical purposes.

Failure to submit revisions before the deadline may result in administrative rejection.

8. Camera-Ready Submission Policy

Accepted papers may require submission of a final Camera-Ready version.

Authors are responsible for ensuring that Camera-Ready files:

  • Contain correct author information.
  • Follow conference formatting requirements.
  • Represent the final publication version.

Organizers may request corrections before final acceptance into proceedings.

9. Registration and Payment Policy

Some conferences may require registration fees.

If enabled by the Organizer:

  • Authors may be required to submit proof of payment.
  • Organizers are responsible for payment verification.
  • The Platform merely stores payment-related records.

The Platform:

  • Does not process payments unless explicitly integrated with payment services.
  • Does not guarantee payment verification.
  • Is not responsible for refunds, financial disputes, or registration disagreements.

All financial matters remain between organizers and participants.

10. Intellectual Property Policy

Authors retain ownership of their submitted works.

By submitting content through the Platform, authors grant:

  • The conference organizer
  • Assigned reviewers
  • Authorized conference personnel

the right to access and process submissions for conference-related purposes.

The Platform does not claim ownership of submitted content.

11. Prohibited Activities

Users may not:

  • Upload malicious software or harmful files.
  • Submit fraudulent or plagiarized content.
  • Impersonate individuals or organizations.
  • Circumvent security controls.
  • Access unauthorized data.
  • Interfere with conference operations.
  • Harvest personal information from other users.
  • Use the Platform for unlawful activities.

Violations may result in account suspension or permanent removal.

12. Conference Content Responsibility

Conference organizers are solely responsible for:

  • Conference legitimacy
  • Academic standards
  • Conference announcements
  • Review processes
  • Proceedings publication

The Platform does not endorse, verify, or guarantee:

  • Conference quality
  • Publication opportunities
  • Indexing claims
  • Academic reputation

Participants should independently evaluate conferences before participating.

13. Data Access and Confidentiality

Access to conference information is controlled by user roles.

Examples:

  • Authors may access their own submissions.
  • Reviewers may access assigned submissions only.
  • Organizers may access submissions within their conferences.
  • Platform administrators may access data when required for support, security, maintenance, legal compliance, or abuse investigations.

All users must maintain confidentiality of information obtained through the Platform.

14. Record Retention

The Platform may retain:

  • Conference records
  • Submission files
  • Review reports
  • Revision histories
  • Decision records
  • Activity logs

for operational, legal, security, auditing, and archival purposes.

The duration of retention may vary depending on conference settings and applicable requirements.

15. Service Availability

The Platform strives to provide reliable service.

However, the Platform does not guarantee:

  • Continuous availability
  • Error-free operation
  • Uninterrupted access

Scheduled maintenance, upgrades, technical issues, or circumstances beyond reasonable control may affect availability.

16. Limitation of Liability

The Platform serves as a software provider only.

The Platform shall not be responsible for:

  • Payment disputes
  • Intellectual property disputes between users
